The four steps of an AI-handled call
The sequence is always the same, whatever the complexity of the request.
- Immediate pick-up, no queue and no hold music
- Understanding of the request as freely expressed by the caller
- Direct answer when the information belongs to the authorized knowledge base
- Otherwise: transfer to the right department, or structured message taking
Difference with a traditional IVR
An interactive voice response system imposes a tree: "press 1 for...". The caller has to translate their need into a structure they do not know, which produces wrong transfers and abandoned calls.
An AI switchboard reverses the logic: the caller explains the request, the agent classifies it. The tree still exists inside the company, but it is no longer imposed on the caller.
Integration with existing telephony
Connection happens on existing numbers, without changing carrier in most configurations. Transfer scenarios mirror the real organisation of departments.
Limits to keep in mind
A voice agent is only relevant if its knowledge base is kept current. On sensitive topics — disputes, emergencies, emotional situations — escalation to a human should be configured by default rather than attempted by the AI.
